Confidentiality of Records

Policy on Disclosure of Patron Records

The Martin Luther College Library follows the Minnesota State Law, which exempts libraries from public disclosure of "data that link a library patron's name with materials requested or borrowed by the patron or that link a patron's name with a specific subject about which the patron has requested information or materials; or data in applications for borrower cards, other than the name of the borrower.”  Section 13.40 Minnesota Statutes 2007

Patron information is strictly confidential. It is for the use of library staff only; it can, of course, be disclosed to the patron. With respect to this statute, the MLC Library staff has on rare occasions deemed it necessary to make a particular item’s holder known to a professor who has an immediate need for the material.

Overdue Materials

The library uses an overdue fine system to ensure maximum availability of materials. Unpaid library charges of MLC students over $5 are submitted to Financial Services who will add these charges to the individual’s college account with an additional service charge. Overdue notices are sent via email. If there is no response after 2 notices the item is assumed lost and the student’s account is billed. Borrowing privileges will be temporarily suspended if library charges exceed $5.00 for MLC students or community patrons until those charges have been paid or resolved.

Fines accrue when material is overdue, and amounts are calculated when material is returned. A reminder notice is sent by email two days after the due date. A second notice is sent nine days after the due date. All patrons with materials sixteen days overdue receive a bill for the replacement cost. If overdue material is returned before a replacement has been ordered, all charges (except overdue fines) will be cancelled.

Lost & Found

The Library lost & found is located at the Circulation desk on the upper floor. You can inquire about items at the desk, by phone (354-8221 ext. 242), or by email library@mlc-wels.edu.

Valuables (wallets, purses, checkbooks, credit cards, personal keys, drivers' licenses, etc.), ID’s and non-valuable items (clothing, umbrellas, etc.) are kept for 24 hours before being given to the VP of Student Life for safekeeping.

Paper items (notebooks, photocopies, calendars, etc.) are recycled.

Food & Drink

Food and drink are allowed in the MLC Library,  please follow these procedures to protect the library materials, furniture, carpeting and equipment from damage. The following cautions are in order.

  • Bring drinks in covered, spill-proof containers or capped bottles.
  • Pour unused drinks down the sink (bathrooms are located on both floors of the library) before placing containers in the wastebasket.
  • Deposit food and drink containers in wastebaskets provided throughout the library.
  • Deposit used paper in provided containers for recycling.
  • Report accidental spills to library staff as soon as possible.

No tobacco is allowed in the library.

Lost or Damaged Library Materials

Borrowers are financially responsible for lost or damaged library material and/or equipment checked out on their ID card. They are expected to periodically check their individual accounts online to determine the status of charges, overdue materials, holds and ILL requests.  If library books are damaged (especially by water), please return them immediately to Circulation so appropriate measures can be taken to repair them.

All items four weeks overdue are considered lost and library accounts will be billed for the replacement cost. The charges for lost books returned are automatically credited on your account.  It is the borrower’s responsibility to make an appeal of library charges. Contact Us at 354-8221 ext. 327 or come to the library office on the upper level.

The replacement cost of an MLC library item is subject to availability. The cost for an item on loan from another library is determined by that library. Lost items remain on your library record until the item is returned or arrangements have been made for its replacement. This allows an automatic credit (except for service charge and overdue fines) if items are returned and usually will not affect your borrowing privileges.
